Overheads

Overheads are recurring role or stream allocations that span the entire duration of a phase, automatically adjusting as the schedule changes

Overheads are located in Deal > Estimates > Overheads.

You can use overheads to allocate persistent roles (like Project Managers) or partial resource allocations (such as Lead Architects or Design Directors) that span the entire phase.

For example:

  • A Project Manager allocated at 2 days per week
  • A Lead Architect at 0.5 days per week for oversight
  • A QA stream at 3 days per week for testing support
  • A Design Director at 1 day per week for design review

Estimating overheads

Overheads are similar to features, but amounts are specified per week and automatically multiply by the phase duration. This means overhead costs update dynamically as you adjust your schedule.

Unlike fixed estimates, you enter the weekly allocation (e.g., 2.5 days per week) and Estii calculates the total days and value based on the current phase duration.

To add an overhead:

  1. Click + Add on the overheads tab
  2. Select a role or stream resource
  3. Enter the allocation amount per week

In proposals and exports

Overheads appear in your proposals in two ways:

Schedule visualization - Overhead allocations display at the top of the resource schedule, showing how they span the full phase duration

Itemized appendix - When you add organizational detail (multiple features, custom names, or item descriptions), an "Itemised Overheads" appendix appears with full breakdowns

In deal exports, overheads appear in a dedicated "Overheads" sheet when meaningful metadata exists.

Limitations

  • A phase can have up to 50 overheads
  • An overhead can contain up to 20 items
  • An overhead item can have up to 20 estimates
